What Is This Budget Planner Spreadsheet?

This free budget planner spreadsheet has 12 monthly sheets and an annual summary. Type each expense with its budgeted and actual amount, and the difference and totals update automatically. It works for zero-based or 50/30/20 budgets, saves in your browser, and downloads as an Excel file, PDF or image, or prints blank.

What's Included

How to Use It

This is a genuine editable spreadsheet, not a calculator. Pick a month tab, type each expense's date, category, budgeted amount, actual amount and notes directly into the cells โ€” the Difference column and the Total row update automatically as you go. Add extra rows for categories you need, or add a whole new column if you want to track something the template doesn't already have. Use the Monthly Notes section below the grid for a longer reflection on the month as a whole.

Once you've filled in a few months, open the Annual Summary tab to see your totals for the year at a glance. When you're ready, download the entire 12-month workbook plus the annual summary as a single Excel (.xlsx) file that opens in Excel, Google Sheets or Numbers โ€” or print any page blank and fill it in by hand.

This spreadsheet is flexible enough to fit whichever budgeting method you actually use. For a zero-based budget, keep adding rows until your Budgeted column adds up to your Monthly Income figure at the top, so every dollar is assigned somewhere. For the 50/30/20 rule, rename a few category rows to "Needs," "Wants," and "Savings," group your usual expenses underneath each one, and use the stat strip at the top to compare what you actually spent against those three buckets.

Want a quick calculation instead of a spreadsheet? Use the 50/30/20 monthly budget calculator. Track what you owe and own with the balance sheet generator, and set targets with the savings goal calculator. See every free planner in the planner hub.

How the Budget Planner Works

There is one sheet for each month, plus an annual summary. You enter your monthly income at the top and a budgeted and actual amount for each category; the difference column shows where you overspent (in red) or saved, and the totals show income, spending, savings and how much you budgeted. A spending-by-category chart fills in as you add actual amounts. Everything you type is saved automatically in your browser (local storage) on this device, so the sheet is still there when you come back, with nothing sent to a server and no account needed. Totals, completion rates and charts recalculate the moment a cell changes. When you want a copy, the export buttons build an Excel .xlsx file, a PNG or JPG image, or a PDF of the full planner, and the print buttons print one sheet or all of them. Because the data lives in one browser, use the Excel download if you want a backup or plan to switch devices.

Who Uses the Budget Planner?

Frequently Asked Questions

What's the Monthly Notes section for?

It's a free-form space below the grid for a longer reflection โ€” a big one-off expense, why a category went over, plans for next month. Add as many note boxes as you need with the "Add Note Box" button.

Can I print a blank copy to write on by hand?

Yes. Any sheet with empty cells prints as a blank grid ready for handwriting. Use "Print Full Planner" to print all 12 months plus the annual summary in one go.

Can I set this up as a zero-based budget?

Yes. Zero-based budgeting just means every dollar of income gets assigned to a category before the month starts. Enter your Monthly Income at the top, then add or edit rows in the Budgeted column until the categories add up to that same number.

Can I use this for a 50/30/20 budget instead?

Yes. Rename three of the default category rows to "Needs," "Wants," and "Savings," move your regular expenses under whichever bucket they belong to, and use the Budgeted column to set each bucket's target share of your income.

Can I track a biweekly or paycheck-based budget with this?

The template is built around monthly pages, but you can adapt it: use the "Add Column" button to add a "Pay Period" field, then log each expense against the paycheck it came out of within that month's grid.

What's the difference between this and the other budget planner?

This is a full 12-month editable spreadsheet with monthly pages, save/load support, and an annual summary, built for ongoing month-to-month tracking. If you just want a quick one-time budget snapshot instead, try the Quick Budget Calculator.
