How Do I Make an Invoice for Free?
Fill in your business and client details, add each product or service with quantity, rate and tax, set any discount, then download the invoice as a PDF. This generator is free with no sign-up. It includes invoice numbers, dates and a live preview; your data stays in your browser. A small "Made with thenesttools.com" line appears in the footer.
How to Create an Invoice in 6 Steps
- Add your business details and upload a logo (optional).
- Add your client's details (the "Bill To" section).
- Set the invoice number, date, due date, currency and template.
- Add line items: description, quantity, rate and tax % per item.
- Add a discount, shipping, notes, payment terms and a signature (drawn or uploaded).
- Download PDF (choose "Save as PDF" in the print window), or Save This Invoice to reuse it later.
What Should an Invoice Include?
- The word "Invoice" and a unique invoice number, for example INV-2026-014
- Your business name, address and contact details, plus your tax registration number if you have one
- Your client's name and address
- Invoice date and payment due date, or terms such as Net 15 or Net 30
- An itemised list of goods or services with quantity, rate and line total
- Subtotal, discount, tax and the total amount due
- How to pay: bank name, account title and IBAN or account number, or a payment link
Tax rules differ by country. If you're registered for VAT, GST or sales tax, check what your tax authority requires on a tax invoice.
Worked Example: Freelance Invoice
| Line | Amount (Rs) |
|---|---|
| Web design, 10 hours × 5,000 | 50,000 |
| Discount 5% | − 2,500 |
| Tax 16% on 47,500 | + 7,600 |
| Total due | 55,100 |
The generator applies the discount first and charges tax on the discounted amount, the usual order on invoices. Use your own tax rate; many freelancers who aren't tax-registered leave it at 0%.
Invoice Tips for Freelancers and Small Businesses
- Number invoices in sequence and never reuse a number; it keeps your records clean.
- State the due date clearly. Count working days for your terms with the business days calculator.
- Invoice in the client's currency when working abroad; the generator supports USD, GBP, EUR, PKR, INR, JPY, AED and SAR.
- Price for profit: check your margins with the markup vs margin calculator.
- Invoice vs receipt: an invoice asks for payment; a receipt confirms payment was received.
For the bigger financial picture, see your assets and liabilities on the balance sheet generator.
